Third Horizon Strategies Job Posting: Executive Assistant

 

Position Overview

The executive assistant provides high-level operations for Third Horizon Strategies (THS) and contributes to the efficiency of the business by providing personalized and timely support to the CEO, and serves as the office manager. Specific work responsibilities include managing calendars, coordinating high-volume scheduling tasks, making travel arrangements, and preparing expense reports. The executive assistant interacts and communicates using professionalism, integrity, sound judgment, discretion, and confidentiality.

Duties and Responsibilities

  • Chicago-based and works from the downtown office with some flexibility for working from home
  • Manage calendar and high-volume scheduling needs for the THS founder & CEO
  • Serve as a point of contact for employees, clients, and other external partners
  • Schedule internal/external meetings, appointments, conference calls, and special events – enter details and gather materials for upcoming meetings
  • Coordinate itineraries and travel arrangements (air/ground travel, accommodations, etc.)
  • Maintain and facilitate communication with senior firm leaders and external clients
  • Assist with expense reporting and reimbursement
  • Act as an office manager by keeping up with office supply inventory and other duties as needed
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Support internal team with other duties as assigned

Education and Special Skills

  • A bachelor’s degree in field related to health or business (public health, international relations, economics, statistics, etc.) or a professional certification related to the executive assistant role
  • At least five years’ experience supporting a C-Suite Executive, as an executive assistant, personal assistant, or similar role
  • Proficiency with Microsoft Office suite
  • Time management skills that reflect the ability to complete a high volume of tasks and projects with little or no guidance
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Exceptional organizational skills and impeccable attention to detail
  • Excellent verbal and written communications skills
  • Ability to maintain a high level of integrity and discretion in handling confidential information
  • Ability to work in a fast-paced environment and remain calm under pressure
  • Eagerness to grow professionally with a commitment to self-development
